OFFICE ADMINISTRATOR

Summary

The position of Office Administrator is a key position within the organization responsible for administrative operations of the Okotoks terminal, supporting various departments, and ensuring efficient office functions.

Essential Functions and Duties

  • Manage office operations, including handline correspondence, scheduling, and maintaining office supplies.

  • Provide administrative support to management and staff, including preparing reports and documents.

  • Maintain accurate records and files, ensuring compliance with company policies and legal requirements.

  • Assist in invoicing and other financial tasks as needed.

  • Coordinate hotel arrangements for drivers.

  • Serve as the point of contact for internal and external inquiries.

  • Support HR functions such as onboarding new employees and maintaining personnel records.

  • Ensure office equipment and facilities are properly maintained.

  • Adhere to and enforce company policies and Canadian employment regulations.

  • Provide support to the Safety department.

  • Various other tasks as assigned by your supervisor.

Qualifications

  • 1+ years of experience in a Clerical Role

  • Excellent written and verbal communication skills

  • Strong organizational skills

  • Strong people skills and ability to work well with others

  • Ability to work under pressure and resolve situations timely

  • 1+ years of experience in Transportation preferred

  • Ability to travel to the United States for training as needed

Education

  • High school diploma or equivalent

Computer Skills

Proficiency in Microsoft Office Suite and safety management software

Schedule

Monday - Friday 7:30am - 4:00pm with an unpaid 30-minute break for lunch

Average work week of 40 hours.

Work is mostly performed in an office environment, but you may have times you need to enter the maintenance facility where temperature may fluctuate based on outdoor environment.
